Exchange Online Kiosk

Exchange Online Kiosk is the smallest hosted mailbox Microsoft sells: 2 GB, reached through Outlook on the web or the Outlook mobile apps. It suits shift, field and shop-floor staff who need a company address but never open a desktop mail client. The constraints are real and should be checked against the role first. There is no archive mailbox and no hold. There is no support for Outlook for Windows or Mac, and no Exchange Web Services application support. IMAP is not available, though POP is. Role-based permissions and delegate access are not part of the plan.

What it is

Exchange Online Kiosk is a low-capacity hosted mailbox for staff who need email but do not work at a desk. It is a mailbox licence only, with no Office applications and no other Microsoft 365 services.

Who it is for

Shift workers, field staff, shop-floor and warehouse roles that need a company mail address, typically reached from a phone or a shared browser session.

Key capabilities

  • 2 GB mailbox
  • Outlook on the web, Outlook for iOS and Android, Exchange ActiveSync and SMTP
  • POP access
  • Manual retention policies, labels and tags
  • Microsoft Purview Message Encryption (Basic), journaling, transport rules and eDiscovery content search

What is not included

No archive mailbox. Exchange Online Archiving can be bought as an add-on if archiving is genuinely needed, but it is not part of the plan. No In-Place Hold or Litigation Hold. No Microsoft Purview data loss prevention.

On the client side there is no support for Outlook for Windows or Outlook for Mac and no Exchange Web Services application support, so any line-of-business tool that talks to mailboxes over EWS will not work against a Kiosk mailbox. IMAP is not available, although POP is. Role-based permissions, role groups and delegate access are not included.

When to choose Plan 1 instead

If the user needs a desktop mail client, an archive, delegate access, or more than 2 GB, Exchange Online Plan 1 is the smallest plan that provides it, with a 50 GB mailbox and a 50 GB archive.

FAQ
Can Exchange Online Kiosk be used with the Outlook desktop app?

No. Kiosk does not support Outlook for Windows or Outlook for Mac, and it has no Exchange Web Services application support. Access is through Outlook on the web, the Outlook mobile apps, Exchange ActiveSync or POP.

Does Kiosk include an archive mailbox?

No. Archive mailboxes are not available on Kiosk. Exchange Online Archiving can be purchased as an add-on for a Kiosk mailbox if archiving is required.

How large is a Kiosk mailbox?

2 GB. Exchange Online Plan 1 is 50 GB and Plan 2 is 100 GB, so Kiosk is intended for light, transactional mail rather than sustained correspondence.

Does Kiosk support IMAP?

No. POP is supported on Kiosk but IMAP is not. This catches out organisations migrating from a mail host where staff used IMAP clients.

When should I choose Plan 1 over Kiosk?

When the user needs a desktop mail client, an archive, delegate access, or more capacity than 2 GB. Plan 1 provides all four.
